FluentCRM Integration
Keeps a FluentCRM contact in sync for every Voxel user, adds Voxel context to the FluentCRM contact screen, and tags contacts automatically based on their role, membership, and listing plans.
Requirements
- FluentCRM installed and active
- FluentCRM Pro for the automation triggers — everything else works on free
Connection
Confirms the plugin can see FluentCRM. If it can't, install and activate FluentCRM first — the rest of the panel depends on it.
Sync Defaults
| Setting | Description |
|---|---|
| Profile post type | Which Voxel post type represents a user profile |
| New contact subscription status | The status applied to contacts created by the sync |
| On user delete | What happens to the FluentCRM contact when the WordPress user is deleted |
Subscription status has legal weight
Creating contacts as Subscribed opts people into marketing without consent. Unless registration includes an explicit opt-in, Pending or Unsubscribed is the safer default — you can move them once they consent.
Contacts sync on registration, profile save, email change, and deletion, so the CRM tracks the user record without a scheduled job.
Field Mapping
Maps Voxel user and profile fields to FluentCRM contact fields. Set up the mapping before running a bulk sync, so the backfill writes complete records rather than needing a second pass.
FluentCRM Contact Tabs
Adds Voxel context to each contact's screen in FluentCRM.
Standard tabs — toggle each on or off:
| Tab | Shows |
|---|---|
| Reviews | Reviews the member has left |
| Timeline | Their timeline activity |
| Membership | Current membership plan and status |
| Listings | Their paid listings |
Per-post-type tabs — add a tab for any Voxel post type, so you can see a contact's posts of that type without leaving the CRM.
Auto-Tagging Rules
Applies and removes FluentCRM tags automatically based on:
- WordPress role
- Active membership plan
- Active paid-listing plan
- State flags — such as has a listing or has a membership
Tags are removed as well as applied, so a lapsed membership drops the tag rather than leaving a stale one behind. That means segments built on these tags stay accurate without maintenance.
Automation Triggers
Adds Voxel triggers to the FluentCRM funnel builder:
| Trigger | Fires when |
|---|---|
| Listing Published | A listing goes live |
| Membership Purchased | A member buys a membership |
| Membership Cancelled | A membership is cancelled |
| Order Completed | An order completes |
| Review Submitted | A review is left |
Triggers need FluentCRM Pro
The funnel builder is a Pro feature. The rest of the integration — syncing, tabs, tagging — works on free FluentCRM.
Bulk Sync Existing Users
Backfills your entire existing member base into FluentCRM in one pass, and applies the auto-tagging rules to them.
Run this after configuring field mapping and tagging rules, so contacts are created complete.
Check your subscription status setting first
A bulk sync can create thousands of contacts at once. If the status is Subscribed, they all become mailable immediately. Confirm that's what you want before running it, and test on staging if you can.
Troubleshooting
Contacts aren't being created
- Confirm FluentCRM is active and the Connection section reports it
- Confirm the user actually triggered a sync event — registration, profile save, or email change
- For existing users who predate the integration, run the bulk sync
Tags aren't applied
Tagging runs from the rules you configure — an empty ruleset applies nothing. Check the rule matches the user's actual role or plan, then re-run the bulk sync to apply to existing contacts.
Triggers don't appear in the funnel builder
They need FluentCRM Pro. On free FluentCRM the funnel builder isn't available, so the triggers have nowhere to appear.
Contact tabs are empty
The tabs read Voxel data for the matched contact. An empty tab usually means the contact isn't linked to a WordPress user, or that user genuinely has no reviews, listings, or timeline activity.
